About the Role
We are seeking a detail-oriented and proactive Finance Officer to join our New York office, In this role, you will manage day-to-day financial transactions, ensure accurate and timely payment processing, and collaborate closely with the Operations team in New York to handle project and office-related financial matters.
You will work in close coordination with our Finance team in Rotterdam and report directly to the Finance Director / CFO. This position offers the opportunity to contribute to the financial operations of a globally recognized architecture practice, within an international and design-driven environment. You will play a key role in ensuring that financial processes run smoothly, efficiently, and in alignment across offices worldwide.
Our New York office is currently undergoing a transformation to a new ERP system, involving a comprehensive review and optimization of financial processes and reporting. We are therefore looking for a candidate with an affinity for digital transformation and a solid understanding of ERP systems—or prior experience supporting similar implementations.
Responsibilities
- Responsible for the accounts payable;
- Review scanned invoices and ensure accurate cost allocation to departments and projects;
- Prepare payment proposals and process payment orders in IFS, ensuring timely submission to the bank;
- Follow up with project leaders and designated officers to obtain necessary approvals for both the vendor invoices as well as the timesheets;
- Review and approve employee expenses in line with company policies;
- Import and reconcile credit card statements in IFS;
- Manage and process petty cash transactions, including uploading itemized receipts in IFS;
- Assist in preparing periodic overviews of reimbursable expenses for each project;
- Accurately process accounting entries, ensuring all incoming, payroll, and purchase payments are correctly recorded and allocated;
- Reconcile transactions across sales invoices, ledger accounts, and payment orders to maintain accurate financial records;
- Maintain daily communication with the Finance team in Rotterdam to ensure alignment on procedures and reporting;
- Be willing to travel to Rotterdam for training and maintain ongoing collaboration with the team there;
Qualifications
- Degree in Accounting, Finance, or a related field;
- 3–5 years of relevant experience in accounts payable or general accounting;
- Prior experience within the architecture, design, or building industry is highly preferred;
- Experience with IFS or similar ERP systems;
- Strong attention to detail, accuracy, and organizational skills;
- Hands-on approach, being able to work independently;
- Excellent communication and teamwork abilities, particularly in an international setting;
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
