OMA’s Rotterdam office is looking for a Personal Assistant for our Founding Partner. The responsibility of this new team member is to manage all travel arrangements and assist with his professional and personal duties. The successful candidate will be able to manage multiple assignments and competing priorities in a fast-paced, high-volume environment with meticulous attention to details.

Responsibilities:

Travel

Travel is a core part of the job, the candidate requires a certain agility with travel planning as the partner’s plans can be complex, sometimes improvised and often shifted. 

  • In charge of all travel arrangements, including booking travel, flights, trains, cars and hotels, all paperwork related to international travel requirements, and any required adjustments prior to and/or during travelling  

Finance

 

The candidate will interact with the support staff of the company regarding standard corporate matters, as well as with the personal accountant of the partner, a Dutch speaker is strongly preferred but not mandatory. 

  • Liaise with the Legal department regarding contractual matters
  • Organize, review and reconcile expenses in direct collaboration with the Finance Department

Daily Tasks

The candidate will have two types of work routine when the partner is traveling and when he is in the office, giving full autonomy to prioritize as they see fit.

  • Assist with the Partner’s professional and personal calendars
  • Manage correspondence and filing in a professional, discreet manner
  •  Collaborate closely with the OMA secretariat, project leaders and other departments
  •  Plan and coordinate personal appointment
  • Organize catering

Requirements:

  • Minimum of 3-5 years’ experience working in a comparable role at a similar sized, fast paced international firm
  • Extensive travel booking and administration experience
  • Detail-oriented, self-motivated, independent and reliable under pressure
  • Excellent critical thinking abilities, problem solving
  • Ability to provide impartial, meaningful feedback in a timely manner, and keeping leadership informed of progress and issues
  • Affinity for managerial and financial tasks is preferred
  • Proficient in Microsoft office programs (Word, Excel, Outlook)
  • Must be excellent in spoken and written English, Dutch skills and other languages are a strong advantage
  • Eligible to work in the Netherlands
